Refund & Cancellation Policy

This page summarizes how refunds and cancellations work on TrovaTrip Groups. It is intended as a plain-language reference; the binding legal terms are in our Booking Terms, Sections 4 and 5, together with the parent TrovaTrip Booking Terms, which apply throughout your use of any TrovaTrip property. Where this page and the binding terms differ, the binding terms control.
1The short version
- Before a trip locks in: you are never charged. Your card holds an authorization for your 25% deposit, but no money moves. Cancel any time and the hold releases.
- After lock-in, before charge — the default path: we email you roughly 48 hours before your card is charged. Email us if you need to drop and we’ll release the hold instead of capturing.
- Some captures happen sooner, with shorter or no advance notice. See Section 4 for the three cases where this applies — late joiners on a confirmed trip, immediate-capture confirmations by TrovaTrip, and captures triggered by your reconsent to a material change. In those cases the commit-flow itself tells you you are being charged immediately.
- After your deposit is charged: the booking moves to TrovaTrip’s primary platform. Refund eligibility is governed by the TrovaTrip Booking Terms and the operator’s policy for that itinerary. The deposit generally becomes non-refundable at this point.
- If we cancel a trip: any active card holds are released and any captured deposits are fully refunded.
2Card holds vs. charges
Every commitment places a temporary authorization hold on your card equal to the 25% deposit. Holds reserve funds against your available credit but don’t move money. Card networks release expired or cancelled holds on their own schedule (usually 1–7 business days). We have no control over how quickly your bank reflects a release.
A charge only happens after the trip locks in and is confirmed by TrovaTrip. The default capture path emails you about 48 hours ahead of the charge; capture may also happen sooner without that 48-hour notice in the cases described in Section 4. Charges from TrovaTrip Groups appear on your statement with the descriptor suffix “GROUPS” (so a typical line reads roughly “TROVATRIP* GROUPS”) — that is how you can tell a Groups charge apart from a regular trovatrip.com charge.
3Cancelling before lock-in
3.1Cancelling your own commitment
Reply to your reservation confirmation, or email hi@groups.trovatrip.com with the trip name. We’ll release your hold. Because no money was ever captured, there is no refund — the authorization simply lapses.
3.2Organizer cancels the trip
If the organizer cancels an unconfirmed trip, every committer’s hold is released automatically and you’ll receive a confirmation email.
3.3Trip expires without locking in
If a trip doesn’t reach its minimum within the 7-day commitment window, it expires automatically. All holds are released. You’ll receive an “it didn’t lock in” email.
4When charges happen — the default and the carve-outs
4.1Default: ~48 hours after lock-in confirmation
When a trip locks in and TrovaTrip approves it under the standard (“48-hour grace”) path, we send every committer a pre-charge reminder email and capture occurs roughly forty-eight (48) hours later. If you need to drop or have a card issue, email hi@groups.trovatrip.com before the window closes and we’ll release the hold without capturing.
4.2Carve-out: immediate-capture by all-traveler consent
We will not capture any deposit before the 48-hour pre-charge window has elapsed unless every committed traveler has affirmatively consented to immediate capture. Two structural cases below (Sections 4.3 and 4.4) collect that consent automatically as part of the commit or reconsent flow. Outside those cases, immediate capture requires an explicit, recorded consent from each committed traveler — TrovaTrip will not unilaterally capture early on operational grounds alone.
4.3Carve-out: late joiners on a confirmed trip
If you commit to a trip that is already confirmed, your card is charged at the moment you commit rather than held and captured later. The commit modal labels this clearly: it shows the deposit amount as “charged today” and the join button confirms the immediate charge before you submit. By committing in that flow you authorize the immediate capture.
4.4Carve-out: capture triggered by reconsent
If a trip is materially changed after lock-in (see Booking Terms 6.3), every committed traveler is asked to reconsent within seven (7) days. When all committed travelers have reconsented, the trip moves to confirmed and capture occurs immediately — there is no separate 48-hour window in that path, because each traveler has already been notified of the change and explicitly re-authorized the booking.
5After your deposit is captured
5.1Refunds after capture
Once captured, the deposit is treated as the trip down payment under the parent TrovaTrip Booking Terms. The deposit is generally non-refundable at this point, subject to the carve-outs in those terms (e.g., trip materially changed by the operator, trip cancelled by TrovaTrip, force-majeure provisions).
5.2TrovaTrip’s cancellation tiers
Cancellation tiers are set by TrovaTrip and apply uniformly across operators — there is no per-operator refund policy. The framework comes from the parent TrovaTrip Booking Terms (Sections 5.7–5.10), with the Groups-specific adjustments below. These Refund & Cancellation rules and the Booking Terms control where they differ from the parent terms; non-conflicting parent provisions apply alongside.
Important Groups-specific clarification. The parent terms include a 48-hour post-confirmation window during which a traveler can back out for a refund. In TrovaTrip Groups, that cooling-off window is the 48-hour pre-charge notice in Section 4.1 — by the time we capture your deposit, you have already had your opportunity to back out without being charged. Once captured, there is no additional 48-hour refund right; the deposit is treated as a down payment under Section 5.1 and refundability follows the carve-outs there (material change, TrovaTrip cancellation, force-majeure). The two 48-hour windows in the parent terms collapse into one in Groups.
- Before capture: no funds have moved. You may cancel your commitment at any time and the hold will release. See Section 3.
- After capture, more than 90 days from departure: the captured deposit is treated as a down payment under the parent terms — TrovaTrip credit equal to the captured deposit, less a $100 cancellation fee, applied toward a new trip within 365 days.
- After capture, 90 days or fewer from departure:non-refundable, subject to the carve-outs in Section 5.1.
- Special itineraries: some trip types (for example, Antarctica expeditions and Designer Trips) have stricter rules in the parent terms. TrovaTrip Groups does not surface those itineraries today, but if a future template is offered under one of those policies the parent terms’ special rules apply.
5.3How to request a post-capture refund
Email hi@groups.trovatrip.com with your trip name, your registered email, and the reason for the request. We’ll respond within two business days with the eligibility outcome and, if granted, a timeline for the refund.
6Disputed charges (chargebacks)
Charges from TrovaTrip Groups appear on your statement with the descriptor suffix “GROUPS” (for example, “TROVATRIP* GROUPS”). If you don’t recognize a charge, please email hi@groups.trovatrip.com before opening a dispute with your bank. Most disputes we receive turn out to be forgotten reservations, and we can usually resolve them within a day. Filing a chargeback when a refund would have been issued anyway costs both of us time and money — we will always provide documentation of the deposit and the capture to the card network if a dispute is opened.
Documentation we keep on every commitment includes: the IP address used to commit, the commitment-confirmed email, the lock-in (or reconsent) notification, the pre-charge reminder where applicable, the deposit-captured email, and the operator’s itinerary. This is what we submit in response to a card-network dispute.
7Service fees and price breakdown
We do not charge a separate service fee on commitments. The price displayed for a trip is the all-in per-person price; the deposit is 25% of that price (this is the amount your card is held or charged for at commitment), and the remaining 75% is invoiced by TrovaTrip closer to departure under the parent TrovaTrip Booking Terms.
8Travel insurance
We strongly recommend travel insurance for any trip. Under the parent TrovaTrip Booking Terms (Section 5.14), the recommended minimum coverage is $200,000 USD for each of personal accident, death, medical expenses, and emergency repatriation; your policy should also cover cancellation, curtailment, personal liability, and lost luggage. Insurance can cover trip-cost loss for reasons our cancellation policy doesn’t (illness, family emergency, weather disruption); it’s not included in the trip price and is not a substitute for our refund rules.
When an operator requires travel insurance for a particular trip, you’ll be notified at least 90 days before departure. Your policy holder name and policy number must be on file with TrovaTrip at least 48 hours before departure.
